Connect Exact Online to an AI agent
An Exact Online AI agent integration runs through the official Exact Online REST API, so an agent can answer questions about orders, stock and invoices for customers, dealers and your own team. Below we cover what that agent does in a manufacturing company and in a wholesale or import business, how it compares to Exact's own AI and self-service connectors, and what it costs.
Short answer
Yes. Through the official Exact Online REST API (OAuth2), an AI agent can read orders, stock and receivables and, with approval, prepare a draft sales order. BeeManaged builds and manages that agent for manufacturing, trade and technical companies, connects it to your website, CRM and service channels, and keeps it read-only by default. Exact's own MCP server is announced, not live (September 2026).
What is an Exact Online AI agent integration?
It is a connection through the Exact Online API that lets an AI agent read your administration and, where you allow it, prepare actions. A customer, dealer or employee asks a question in plain language; the agent answers from Exact Online or places a proposed action in an approval queue.
At every step the agent prepares and your team makes the decision.
What do the AI agents in Exact Online do, and what don't they?
As of September 2026, Exact Online Boekhouden has AI agents for finance tasks inside Exact Online. They do not talk to your customers or dealers, do not pick up quote requests from your website, and do not combine Exact Online with your CRM or service desk.
- Purchase Agent: recognises purchase invoices and suggests a ledger account.
- Bank Agent: matches payments.
- Support Agent: answers how-to questions, 24/7.
- Debtor Agent: predicts payment dates and sends reminders (from the Plus edition).
- In beta: Financial Agent (KPI analysis, announced 3 September 2026), CRM Agent, Excel Agent.

Does Exact Online have an MCP server?
Exact has announced one, but as of September 2026 it is not live. The official Exact Online MCP server is on Exact's roadmap, for AI assistants such as ChatGPT to fetch data, run analyses and start actions under central governance. There is no release date or price yet.
MCP alone does not arrange rights per role across systems, approval of write actions or customer channels. Until it arrives, the REST API is the official way in.

Exact's own AI, a self-service connector or a managed agent: which fits?
Use the AI agents in Exact Online for finance work inside Exact, and a self-service MCP connector to query your own administration from an AI assistant. Choose a managed agent when customers, dealers or teams need Exact Online data combined with other systems, with approval.
| The vendor's own AI | Self-service MCP connector | Managed agent from BeeManaged | |
|---|---|---|---|
| Who it is for | Finance staff in Exact Online | Individual users | Customers, dealers and your teams |
| Systems | Exact Online only | Exact Online, via your AI assistant | Exact Online plus website, CRM, email, service desk |
| Write actions | Within its own finance task | Mostly read-only; some write after confirmation | Read-only by default; writes via approval queue |
| Management | Exact | You | BeeManaged, with monitoring and audit log |
| Cost | Depends on your Exact Online edition | Free to roughly €80 per user or per month | From €0.35 per conversation (customer-facing) |
What does an AI agent do with Exact Online in a manufacturing company?
Mostly it answers questions that now cost inside sales phone calls and searching: order status, delivery dates, stock and payment status, read through the Exact Online API. For a quote request it prepares a draft sales order that a person approves. The table shows five examples.
| Process | Question | What the agent reads or does | What comes back |
|---|---|---|---|
| Order status and delivery time | Customer or dealer: when does my order ship? | Verifies the asker, reads SalesOrders | Status and delivery date of their own order |
| Quote request to draft sales order | Customer asks a price for 200 units | Reads Accounts and Items, drafts a quotation or sales order for approval | Created in Exact Online after approval |
| Stock and item questions | Inside sales: is this item in stock? | Reads Items, ItemWarehouses, StockPosition | Stock per warehouse, with source |
| Receivables and payment status | Finance: which invoices of this customer are open? | Reads ReceivablesList, AgingReceivablesList, SalesInvoices | Open items and their age, employees only |
| Management questions | Director: how many quote requests became orders? | Combines conversation data with Quotations and SalesOrders | Answer in the dashboard, with records |
What does an AI agent do with Exact Online Trade in a wholesale or import business?
In a wholesale or import business the agent takes over the order entry and checks that are now done by hand: sales orders from a spreadsheet or email, purchase orders from a packing list, goods receipts per container, invoicing finished orders in bulk and spotting what is delivered but not yet invoiced. Every write action waits for approval.
In every process the agent prepares the action and an employee approves it in the queue of app.beemanaged.com. Only then does the agent execute it in Exact Online and log it. For bulk actions it always shows a proposal with counts and totals first; nothing is created or invoiced until someone approves the batch. Every order, receipt and invoice the agent creates is written to the audit log together with the source document.
01
Sales orders from Excel or email
Inside sales forwards a customer's order file or email. The agent reads customer, items, quantities and prices, checks them against Accounts and Items in Exact Online and prepares a sales order with its lines. After approval it creates the order and reports the order number.
02
Purchase orders from a packing list
Purchasing shares a supplier's packing list or pro forma invoice. The agent matches supplier and items, prepares a purchase order with lines and flags anything it cannot match. After approval the order is in Exact Online with the supplier reference filled in.
03
Goods receipt per container
The warehouse reports that a container has arrived and attaches the packing list. The agent finds the open purchase orders for that supplier and prepares a goods receipt per order line with the quantities received. After approval it books the receipt, so stock is current the same day.
04
Bulk invoicing
Finance asks to invoice everything that is ready. The agent selects the orders that are fully delivered and not yet invoiced and first shows a proposal with the number of orders, customers and totals. After approval it creates the sales invoices one by one, linked to the order lines, and reports the result.
05
Delivered but not invoiced, and expected receipts
Management asks what has shipped without an invoice, or what is still on its way. The agent reads the delivery and invoice status per sales order line and the receipt status of open purchase orders. It returns a list with order numbers, customers or suppliers and amounts, read-only.
Does this work alongside your existing integrations?
Yes. A WMS such as Picqer or a webshop connection that already writes to Exact Online keeps working as it does today. The agent gets rules per process against double entries: before it creates a sales or purchase order it checks for an existing order number or reference, and it never books a receipt on a line that is already complete. In the intake we agree which system leads for which process.
How does Exact Online show up in the internal agent and dashboard?
In app.beemanaged.com, employees ask the internal agent questions about connected systems, Exact Online included. Process dashboards combine conversation data with Exact Online data. Proposed write actions wait in the approval queue, and every question and action is recorded in the audit log.
How does the Exact Online API connection work technically?
The agent uses the Exact Online REST API with OAuth2. In Exact's consent screen you choose which administrations (divisions) it may use. Access tokens last 10 minutes, refresh tokens 30 days. Rights are read-only by default, and every write action goes through the approval queue in app.beemanaged.com.
- Registration: an internal app in your own Exact Online, or an external App Store app (developer subscription, review by Exact).
- Rate limits: 60 calls per minute and 5,000 per day per app per administration; fair use 20,000 per day per contract (30,000 on Premium). Above that the API returns HTTP 429.
- Because of these limits we cache items and other reference data, pick up changes through webhooks and sync endpoints, and keep live calls for current data such as order status.
- EU hosting for agents and data, models under business terms, no training on your data, standard data processing agreement.
- Trade entities (as of October 2026): SalesOrders, PurchaseOrders and SalesInvoices, with their lines, support GET, POST, PUT and DELETE; GoodsReceipts support GET, POST and PUT, their lines GET and POST. Stock positions are read-only. These endpoints are available in the Wholesale & Distribution and Manufacturing packages.
- Sales order lines carry an order, delivery and invoice status (open, partial, complete, cancelled) plus the quantities delivered and invoiced; purchase orders carry a receipt status. That is how the agent finds 'delivered, not invoiced' without guessing.
- There are no bulk endpoints for writing. The bulk and sync endpoints are read-only, with a page size of 1,000 instead of 60. Invoicing 100 orders therefore means 100 separate calls, which the agent paces within the 60 calls per minute, so a batch of 100 takes a few minutes.
- A goods receipt line references the purchase order line; if no quantity is given, Exact books the remaining open quantity, and receiving more than ordered is blocked unless your administration allows it. A sales invoice line can reference the sales order and order line it is based on, so invoices created by the agent stay traceable.

Can you connect Exact Globe to an AI agent?
Yes, but the connection works differently from Exact Online. Exact Globe runs on-premise, in Exact Cloud Services or in a private cloud, and connects through entity services or XML. The self-service MCP connectors we found do not support it (as of September 2026). We determine the safest route with your IT partner.
Entity services support SOAP and REST (OData) for create, read, update and delete. They run as a Windows service on a machine with Globe, under a user with Globe rights. For XML import and export, an administrator must whitelist external URLs since product update 507 (May 2026).
Because this runs on your own server, a cloud agent needs a secure connection to it, such as a VPN or a secured gateway.
Not every process is available through the Globe API yet; Exact is still adding entity services such as editing orders and reading open items. Exact Globe Next is supported until the end of 2027 (except payroll and e-invoicing); Exact Globe+ is the successor.

Conversation review, audit log and a monthly report, then the next process.
Pricing for an Exact Online agent
Customer-facing agents cost from €0.35 per conversation. Setup is quoted up front (development €175 per hour), monitoring and the dashboard cost €250 per month, and a consultation package is €1,750. Internal agents and ticket processing are custom work, priced in consultation.
When don't you need BeeManaged for Exact Online?
If you only want to ask your own Exact administration questions yourself, a self-service connector is cheaper. For invoice recognition and payment matching, the AI agents in Exact Online already suffice. BeeManaged makes sense when customers, dealers or several teams need Exact Online data combined with other systems.

Frequently asked questions
Can ChatGPT access my Exact Online administration?
Only through a connection with the Exact Online API, such as a self-service MCP connector; Exact's own MCP server is not live yet (September 2026). For customer-facing or cross-system processes with approval, a managed agent fits better.
What is the difference with the AI agents in Exact Online?
Exact's agents do finance tasks inside Exact Online, such as invoice recognition and bank matching. A BeeManaged agent works across your systems, talks to customers and dealers, and runs with an approval queue and audit log.
Is it safe, and who sees what?
The agent is read-only by default and gets no more rights than the task needs. You choose the administrations in Exact's consent screen; customers only see their own orders. Agents and data run in the EU, your data is not used for training, and everything is logged.
Can the agent create orders or bookings?
The API supports creating sales orders, quotations and invoices, but agents start read-only. Writes, such as a draft sales order, wait in the approval queue until an employee approves.
Can the agent run actions in bulk, for example invoice 100 orders at once?
Yes, in two steps. The agent first shows a proposal with the orders, customers and totals. After approval it creates the invoices one by one, because the Exact Online API has no bulk endpoint for writing. Within the limit of 60 calls per minute a batch of 100 takes a few minutes, and the result is logged per order.
Does this work alongside Picqer or another integration that already writes to Exact Online?
Yes. Existing WMS or webshop integrations keep working. The agent gets rules per process to prevent double entries, such as checking the order number or reference before it creates anything, and we agree which system leads for each process.
Does this also work with Exact Globe?
Yes, through entity services or XML, over a secure connection we determine with your IT partner. Not every process is available through the Globe API yet, so we check per process.
What does it cost?
Customer-facing agents cost from €0.35 per conversation, setup is quoted up front, and monitoring and the dashboard cost €250 per month. Internal agents are custom work, priced in consultation.
