TOPdesk AI agent integration for your service desk

A TOPdesk AI agent integration lets an agent pick up incoming incidents first: it asks the caller for what is missing, adds customer and installation data from your other systems and hands over a complete ticket. Below we cover what that looks like for a technical service organisation, how it relates to TOPdesk's own AI, and how the connection works.

Short answer

Yes. An AI agent connects to TOPdesk through the official REST API, with an application token on a dedicated API account whose rights you set in TOPdesk's permission groups. It reads incidents, asks callers for missing details and, after approval, updates the ticket. TOPdesk's own AI works inside TOPdesk; a BeeManaged agent combines TOPdesk with your ERP, CRM and customer channels.

What is a TOPdesk AI agent integration?

It is a connection through the TOPdesk REST API that lets an AI agent read and prepare incidents and changes. A new request comes in by email or chat; the agent recognises the caller and the installation, asks for the details that are missing and fills the ticket, so your operator starts with a complete picture instead of a phone call.

In a technical service organisation most delay sits before the work: a reference number, a fault code or the location is missing, and someone has to call the customer back. That intake is exactly the part an agent can take over, while planning and the repair stay with your team.

What does TOPdesk's own AI do?

TOPdesk has been rolling out AI features inside TOPdesk since March 2026: categorisation, summaries, a writing assistant, knowledge item creation, AI search, an answering assistant and translation. Since October 2026 TOPdesk has been rolling out AI Triage, the assistant Robin and MCP in its Excellent plan. These features help operators and, through Robin in the Self-Service Portal, end users inside TOPdesk.

TOPdesk's AI makes the operator faster inside TOPdesk. It does not read your ERP to find the customer's installation or contract, and it is not the agent your customer or dealer talks to on your website or WhatsApp. That is where a BeeManaged agent comes in, next to TOPdesk's own AI.

  • March 2026: AI categorisation, AI knowledge item creation, AI summarisation and a writing assistant for knowledge management.
  • April to July 2026: AI search, an answering assistant, a writing assistant for incident management and AI translation.
  • October 2026: an AI readiness dashboard for every customer, improved categorisation in the Engaged plan, and AI Triage, TOPdesk Robin and MCP in the Excellent plan.
  • TOPdesk's principle: AI is there to support, not replace, and you stay in control. Features can require a specific plan.

Does TOPdesk have an MCP server?

Yes. Since October 2026 TOPdesk has been rolling out MCP in its Excellent plan; the full rollout can take four to five weeks. TOPdesk describes it as read-only and scoped to your own data, for AI tools such as Copilot, Claude or ChatGPT. We found no public technical documentation on its tools yet, so we use the documented REST API.

An MCP server lets AI assistants reach TOPdesk in a standard way. It does not decide who may see which tickets across systems, who approves a change or how a customer is answered; those remain process choices.

TOPdesk's own AI, a self-service connector or a managed agent: which fits?

Use TOPdesk's own AI when your operators want help inside TOPdesk with categorising, summarising and writing. A self-service connector suits one person querying TOPdesk from an AI assistant. Choose a managed agent when the intake starts at the customer and needs data from ERP or CRM, with approval and monitoring.

What does an AI agent do with TOPdesk in a technical service organisation?

It takes over the intake around the ticket: reading new requests, asking the caller for missing details, adding customer and installation data, keeping the caller informed and giving management answers. Operators keep planning, diagnosis and the decision to close. Five examples below.

Five processes around TOPdesk
ProcessQuestion or triggerWhat the agent reads or doesWhat comes back
Complete the intakeA new incident by email lacks a fault codeReads the incident, asks the caller in a short chat for the missing fieldsThe fields filled in TOPdesk after approval
Enrich with customer dataOperator: which installation and contract is this?Looks up the customer and installation in ERP or CRMA note on the incident with the data and its source
Status for the callerCustomer: when is the engineer coming?Verifies the caller, reads the incident status and planned dateThe status of their own incident, nothing else
Knowledge for the operatorOperator: is there a known fix for this error?Searches knowledge items and manuals the operator may seeSteps with the source document
Management questionsManager: which fault types came in most this month?Combines incidents with conversation dataAn answer in the dashboard, with the underlying incidents

Where has this approach been tried?

In the Unica pilot, an agent completes service tickets before the service desk picks them up: it invites the customer to a short chat, asks only for what is missing and writes the answers into the ticket. Unica uses Mendix rather than TOPdesk; the process is the same.

How does the TOPdesk REST API connection work technically?

The agent uses the TOPdesk REST API with Basic authentication: the login name of a TOPdesk account plus an application token. We use a separate API account, so you can see and block what the agent does. Its rights come from permission groups in TOPdesk, with read-only rights on the modules by default; every write goes through the approval queue in app.beemanaged.com.

  • Rights (as of October 2026): the API account needs the read permission API access, REST API and the write permission API access, Use application tokens, plus rights per module from its permission groups. That makes least privilege a setting in TOPdesk itself.
  • Incidents: the Incident Management API lists incidents with filters and paging, creates an incident with request, action, caller, operator and operator group, and updates fields of an existing incident.
  • Changes: the Change Management API can create a change from a template; we only use it when a process needs it, with approval.
  • Reporting: TOPdesk also offers an OData reporting feed, used for example by Power BI. For fixed dashboards that is the right tool; the agent answers the questions nobody built a dashboard for.
  • EU hosting for agents and data, models under business terms, no training on your data, standard data processing agreement.

How we set it up, in four steps

  1. 01

    Choose one process

For example the intake of service requests by email, with the fields that must be complete before planning.

  2. 02

    Connect read-only

Your TOPdesk administrator creates the API account and its permission group; we test on real incidents.

  3. 03

    Go live with approval

Ticket updates and messages to callers wait in the approval queue until an operator approves.

  4. 04

    Monitor and improve

Conversation review, audit log and a monthly report, then the next process, such as status questions.

Pricing for a TOPdesk agent

Ticket processing and internal agents are custom work, priced in consultation. Customer-facing agents cost from €0.35 per conversation. Setup is quoted up front (development €175 per hour), monitoring and the dashboard cost €250 per month, and a consultation package is €1,750. Your TOPdesk plan stays as it is.

When don't you need BeeManaged for TOPdesk?

If your operators mainly want faster categorisation, summaries and better knowledge items inside TOPdesk, TOPdesk's own AI covers that, depending on your plan. BeeManaged makes sense when the intake starts at the customer, when tickets need data from your ERP or CRM, and when you want approval and monitoring arranged.

Frequently asked questions

Can an AI agent create incidents in TOPdesk?

Yes, the REST API supports creating and updating incidents. We start read-only and let the agent prepare changes, which an operator approves in the queue before they are written to TOPdesk.

What is the difference with TOPdesk's own AI?

TOPdesk's AI works inside TOPdesk: it helps operators with categorisation, summaries, search and writing, and Robin answers end users in the Self-Service Portal. A BeeManaged agent works before and around the ticket: with the caller, across your ERP and CRM, and with an approval queue and audit log.

Does TOPdesk have an MCP server?

Yes, TOPdesk has been rolling out MCP in its Excellent plan since October 2026, read-only and scoped to your own data. We found no public technical documentation on its tools yet, so we connect through the documented REST API.

Which rights does the agent get in TOPdesk?

Only what its permission group allows: REST API access, application tokens and the modules the process needs. Your administrator sets and can revoke this in TOPdesk at any time.

Does it work with TOPdesk on-premises?

If the REST API of your TOPdesk can be reached through a secure connection, yes. We determine that route with your IT partner, as with other on-premise software.

What does it cost?

Ticket processing is custom work, priced in consultation. Customer-facing agents cost from €0.35 per conversation, setup is quoted up front and monitoring with the dashboard costs €250 per month.
