n8n, Zapier or a managed AI agent: which fits your process?

n8n and Zapier are workflow automation tools: they move data between apps when something happens. Both now offer AI agents and MCP. A managed AI agent is built and run for you around one business process. This guide compares the three on facts, as of October 2026, and says when automation alone is the better choice.

Short answer

Choose n8n or Zapier when the steps are known in advance and your team wants to build and maintain the flows itself: syncing a form to the CRM, a notification on a new order. Choose a managed agent when customers or colleagues ask questions in their own words, data comes from several systems and a person must approve what the agent does.

What are n8n and Zapier, and what is the difference with an AI agent?

n8n and Zapier run workflows: a trigger, such as a new form entry, starts fixed steps across apps. An AI agent decides its next step itself, based on a question in plain language. Both tools now add AI agents to that workflow model; a managed agent starts from the conversation and the process around it.

  • n8n: a workflow tool you can use in n8n's cloud or host yourself. Its AI features include an AI Agent node with tools and memory, and it can connect an agent to MCP servers.
  • Zapier: a hosted workflow tool that connects more than 9,000 apps. It adds Zapier Agents, Zapier Chatbots for customer conversations and Zapier MCP, which lets AI assistants call Zapier actions.
  • A managed agent from BeeManaged: built around one process, such as order status for dealers, with rights per role, an approval queue and monthly management.

What do n8n and Zapier cost compared with a managed agent?

n8n prices by workflow execution: Starter €20 per month for 2,500 executions and Pro €50 for 10,000, both billed annually. Zapier prices by task: Professional from $19.99 per month for 750 tasks, billed annually. A managed agent from BeeManaged costs from €0.35 per customer conversation, with setup quoted up front.

  • n8n (October 2026): Business €667 per month for 40,000 executions, self-hosted; Enterprise on request. Pricing is per execution regardless of how many steps a workflow has. Without a licence key, self-hosted n8n runs as the free Community edition.
  • Zapier (October 2026): Free with 100 tasks per month, Team from $69 per month for 2,000 tasks and 25 users, Enterprise on request. A task is counted when Zapier successfully completes an action; triggers and built-in tools such as Filter and Formatter do not count, and some actions use more than one task.
  • Zapier MCP is included in every plan; each successful tool call uses two tasks. Zapier Agents are billed separately in activities: 400 per month free, 1,500 on the paid Agents Pro plan.
  • On top of the subscription come the AI model costs, the hours to build and test the flows, and the person who maintains them when an app or a process changes.
  • BeeManaged: customer-facing agents from €0.35 per conversation, setup quoted up front at €175 per hour, monitoring and dashboard €250 per month. Internal agents are custom work, priced in consultation.

Can n8n or Zapier agents ask for approval before they act?

Yes, both can. In n8n a tool of the AI Agent node can require a person's review: the workflow pauses and the request goes to a channel such as Chat, Slack, Microsoft Teams, Gmail, Outlook or WhatsApp. In Zapier you add a Human in the Loop step or write the approval into the agent's instructions. In both tools you design and maintain those rules yourself.

  • n8n human-in-the-loop: review can apply to all tools of an agent or to selected risky ones, such as deleting data or sending messages. The reviewer sees the tool and its parameters.
  • n8n MCP Server Trigger: n8n can act as an MCP server over SSE or streamable HTTP, with no authentication, bearer or header authentication.
  • Zapier: the Human in the Loop step pauses a Zap until a reviewer approves, declines or edits the data, with requests by email or Slack; it is a premium app that needs a paid plan, and on Professional requests go only to yourself. An agent can also be told to ask for confirmation before it continues.
  • A managed agent from BeeManaged has one approval queue in app.beemanaged.com for every write action, rights per role and an audit log of every question and action.

Where does your data go?

With n8n you choose: n8n's cloud stores data in Frankfurt, Germany, or you host n8n yourself and the data stays where you run it. Zapier is a hosted service; check its data processing terms against your requirements. A managed agent from BeeManaged runs in the EU under a data processing agreement.

Self-hosting gives control, but also work: according to n8n's docs you provide and manage the infrastructure and maintenance yourself, from installing with Docker or Node.js to configuring the database and security. Count that work when you compare prices.

When is n8n or Zapier the better choice?

When the process is a fixed sequence of steps, nobody needs to ask a question in their own words, and someone on your team likes to build and maintain flows. Then an automation tool is cheaper and faster than an agent, and you keep full control in your own account.

In those cases we say so in the intake. An agent for a job a workflow tool does well costs you more than it brings.

  • A website form that creates a contact in the CRM and sends a confirmation.
  • A new order in the webshop that is copied to the ERP and announced in a channel.
  • A weekly export from one system to a spreadsheet for the controller.
  • Teams with a technical colleague who wants to experiment with AI steps in n8n, self-hosted.

Automation and an agent side by side

They are not either-or. A workflow tool is good at moving data along fixed routes; an agent is good at the conversation and the judgement before or after. Many companies keep their n8n or Zapier flows and add an agent only where people ask questions or decisions need approval.

A practical split: Zapier copies every new web order into the ERP; the agent answers the dealer who asks on WhatsApp where that order is, reads the status in the ERP and asks a colleague to approve a new delivery date.

What does this mean for a manufacturing company?

Most of the hours in a manufacturing company are not lost in copying data, but in questions: when does it ship, which part fits, why is this ticket incomplete. Automate the fixed steps with a workflow tool where that works, and put an agent on the questions that need your ERP, CRM or service desk.

Frequently asked questions

Is n8n free?

Self-hosted n8n runs as the free Community edition without a licence key; you pay for the server and the work to run it. n8n's cloud plans start at €20 per month for 2,500 executions, billed annually (October 2026).

What does Zapier cost?

Free with 100 tasks per month, Professional from $19.99 per month for 750 tasks and Team from $69 per month for 2,000 tasks, billed annually. Zapier MCP uses two tasks per tool call (October 2026).

Can I build an AI agent in n8n or Zapier?

Yes. n8n has an AI Agent node with tools, memory and optional human review of tool calls. Zapier offers Zapier Agents and Chatbots. You build, test and maintain them yourself.

When do you choose a managed agent?

When customers or colleagues ask questions in their own words, the answer needs several systems, a person must approve actions, and you would rather have someone else monitor and improve the agent every month.

Can BeeManaged work next to our n8n or Zapier flows?

Yes. Your workflows keep moving data along fixed routes; the agent handles the conversations and the decisions that need approval. We agree per process which system leads, so nothing is done twice.

Not sure whether you need automation or an agent?

Plan a conversation. We look at one process with you and tell you honestly whether a workflow tool, a self-service connector or a managed agent is the better choice.
